How Roomhero handles personal data, and how you can use your rights.
Who we are
Roomhero runs getroomhero.com. Our address is 2 Venture Drive, #19-21, Vision Exchange, Singapore 608526. You can write to us at viviana@tryroomhero.com.
We follow the Personal Data Protection Act 2012 of Singapore. When we handle personal data of people in the European Economic Area or the United Kingdom, we also follow the GDPR and the UK GDPR.
The short version
- We collect only what we need to answer you, build your models and run your plan.
- Our website sets no cookies and runs no analytics or advertising trackers.
- We write to shop owners at their business email addresses to tell them about Roomhero. Every email has a simple way to stop them.
- We never sell personal data.
- You can ask to see, correct or delete your data, or to stop our emails, at any time.
What we collect, why, and on what basis
When you visit our website. Our hosting provider receives your IP address, browser type, device type, the page you asked for and the time. It uses this to deliver the pages and keep the site secure. In the European Economic Area and the United Kingdom, our legal basis is our legitimate interest in running a secure website.
When you use the “Start” form. You give us a link to your shop and your work email. You may add product photos and measurements. We use them to build your free model, answer you and set up your plan. Our legal basis is your request and the steps we take before a contract.
When you book a call. We collect your name, work email and the time you choose, through our own booking service, which runs on Cloudflare and books the call in our calendar in Google Workspace. Google sends you the invitation with a Google Meet link. Our legal basis is your request. When you open the booking window, your browser loads Cloudflare Turnstile from Cloudflare, which checks that a person is booking and not a robot.
When you are our customer. We keep the contact details of the people at your business who work with us, your billing details, the product images and measurements you give us, and your messages to our support team. We use them to deliver the service, invoice you and help you. Our legal basis is our contract with you, and our legal duty to keep accounting records.
When we write to you first. We write personal emails to shop owners and their teams at business addresses. We hold your name, job title, business email address, your shop’s name, website and address, and what your shop sells, as shown on its public pages. Our legal basis in the European Economic Area and the United Kingdom is our legitimate interest in offering a business service to businesses, which we weigh against your rights. If the recipient is outside the European Economic Area and the United Kingdom, an email may carry a tiny image that tells us when the email was opened. To recipients inside the European Economic Area and the United Kingdom we do not send this image unless you have agreed to it.
When you open a model in your room. The “see it in your room” button opens your phone’s own viewer. These viewers ask permission to use your camera, and your phone handles the camera image. Our pages and servers do not receive it.
Cookies
Our website does not set cookies. If you choose the light or dark theme, your browser keeps that one choice in its own storage so the page looks the same on your next visit. Because we use no advertising, tracking or analytics cookies, we show no cookie banner.
Who receives your data
We share personal data only with providers that help us run Roomhero, and only as far as they need it for their task.
- Cloudflare provides our website hosting, DNS, file storage and email forwarding.
- Google provides our email, calendar, video calls and documents through Google Workspace, and sends the invitation when you book a call.
- Business software providers host our customer records and help us write and organise our emails.
- Email checking services confirm that an email address exists.
- Authorities, courts and advisers receive data when the law requires it or when we need to protect our rights.
We are based in Singapore, and our providers store and process data in several countries, including the United States. Before we pass personal data abroad, we make sure the receiving provider is bound by a contract or a certification that protects the data to a standard comparable to Singapore’s Personal Data Protection Act.
How long we keep your data
- Shop owners we have written to and people who contacted us stay in our records for three years after the last time you contacted us, then we delete them. We delete your record sooner if you ask.
- Customers’ records stay for as long as the plan runs, and billing records stay for five years after, as Singapore tax law requires.
- Product images and measurements you send stay with us while we work for you and for 30 days after your plan ends, then we delete our copies. If you do not choose a plan, we delete them 30 days after we deliver your free model.
Your rights
You can ask us at any time to give you a copy of the personal data we hold about you, correct it, delete it, limit how we use it, or stop using it for direct marketing. We reply within 30 days.
To stop our emails, use the unsubscribe link, reply “stop”, or write to viviana@tryroomhero.com. We will not email that address again.
You may also complain to the Personal Data Protection Commission in Singapore. If you live in the European Economic Area or the United Kingdom, you may complain to the data protection authority of your country, for example the CNIL in France or the Information Commissioner’s Office in the United Kingdom.
